What You’ll Do
1. Operations Administration & Support
- Oversee day-to-day administrative operations to ensure efficient workflow and task execution.
- Maintain and update ClickUp for task tracking, project management, and reporting.
- Manage company records, documentation, and process improvements for better operational efficiency.
- Coordinate with internal teams to support operational planning and execution.
- Provide general administrative support to leadership and ensure all processes run smoothly.
HR & Onboarding Management
- Draft Job Offers (JO), send for signature via HelloSign, and process through HubSpot.
- Set up necessary systems and access for new hires upon JO signing.
- Send welcome emails and conduct onboarding calls to ensure a smooth transition.
- Maintain and update employee records, HR databases, and compliance documentation.
3. Internal Finance & Payroll
- Process payroll for the remote team
- Perform bookkeeping tasks
- Monitor Accounts Receivable (AR) track incoming payments.

- Proficiency in HubSpot, ClickUp, and HelloSign.
- Proficiency in Outlook for email communication, scheduling, and calendar management.
- Experience in operations administration, ensuring smooth internal processes.
- HR expertise, particularly in onboarding, documentation, and employee support.
- Finance operations knowledge, including payroll, bookkeeping, and AR/AP management.
- Strong organizational and multitasking skills with the ability to oversee multiple functions.
- Ability to work independently and meet deadlines while ensuring operational efficiency.
- Strong attention to detail and problem-solving abilities.
- Familiarity with Ignition and Deel (preferred but not required).
