The Role
You’ll be the operational backbone of Mesa—keeping things organized, clients informed, and processes running smoothly. From managing client communication to maintaining records and supporting leadership with day-to-day coordination, your work ensures that nothing falls through the cracks.
What You’ll Do

Monitor and route client emails and requests to the right team members.

Track client deliverables and follow up to keep things moving.

Prepare and send forms, agreements, and reports through HubSpot and HelloSign.

Maintain internal documentation in SharePoint and ensure files are current and accessible.

Support leadership with scheduling, meeting prep, and operational follow-up.

Identify small inefficiencies and suggest improvements to workflows.
What You Bring

Experience in client coordination or operations support, ideally in a remote team.

Proficiency with HubSpot, Outlook, SharePoint, and HelloSign.

Excellent English communication and attention to detail.

Highly organized and reliable—you follow up before anyone has to chase you.

Tech-savvy and adaptable to new tools.
