Key Responsibilities

  • Client Onboarding Management: Efficiently manage multiple client on-boardings simultaneously in a deadline-driven environment, ensuring seamless transitions.
  • Collaboration with Production Manager: Work closely with the Production Manager to align onboarding processes with client expectations and production team capabilities.
  • Account Setup and Integration: Set up new QuickBooks Online, Dext, and Wagepoint accounts, and integrate existing accounts as needed.
  • Bookkeeping Clean-Up: Perform timely bookkeeping clean-up tasks to ensure accurate and up-to-date financial records.
  • Client Support and Training: Address client support queries related to bookkeeping during onboarding and conduct training sessions to demonstrate best practices with our accounting apps.
  • Documentation of Client Needs: Thoroughly document clients’ specific accounting processes and requirements to tailor services effectively.
  • Transition to Production Team: Conduct hand-off meetings with the production team to ensure a smooth transition and continuous support post-onboarding.

  • Bachelor's degree in Finance, Accounting, or Business Administration.

Key Responsibilities

  • Work closely with the Controller, ensuring smooth operations
  • Manage multiple clients in a deadline-drive environment
  • Aide in client onboarding, clean up or catch up work
  • Answer client support questions related to bookkeeping, accounting and tax
  • Review bookkeeping tasks, maintaining accuracy and completeness
  • Perform and review reconciliations to ensure financial accuracy
  • Review and prepare monthly reports
  • Review and file Sales Tax Returns
  • Prepare Year Ends (T2) and Compilations (CSRS4200)
  • Document best practices
 

Qualifications

  • Outstanding written and verbal communication skills, ensuring clarity and precision in all interactions.

In the Controller role at Mesa CPA, you will be the trusted financial partner for our clients, helping them scale their businesses while ensuring financial accuracy and compliance. Starting at the point of onboarding, you will guide clients through their journey with Mesa CPA, driving strategic financial insights and operational efficiency.
 
You will oversee the financial health of client accounts, ensuring optimal financial performance through proactive management, analysis, and project scoping.
 
To be successful in this role, Controllers need to have a strong understanding of accounting principles and business finance, as well as expertise in managing client relationships. The ability to identify opportunities for financial improvement and create customized solutions is crucial to helping our clients reach their business goals.
 
The domain you will work within includes cloud-based accounting systems, payroll solutions, and financial management tools tailored to Canadian businesses. Having great technical and client-facing skills is essential, as you will act as the bridge between clients and our internal production team, ensuring projects are scoped and executed with precision and efficiency.
 
What You’ll Do:
  • Be the financial steward for our clients, owning a portfolio of accounts where you will drive financial insights, identify opportunities for growth, and ensure accurate financial reporting.
  • Develop executive-level presentations that distill complex financial concepts into clear and actionable recommendations during Quarterly and Annual Business Reviews.
  • Proactively manage client relationships, putting their needs first while balancing realistic expectations across areas like financial forecasting, budget planning, risk management, and compliance.
  • Work closely with Mesa CPA’s production team to ensure seamless client transitions and the delivery of exceptional service across bookkeeping, accounting, and controller functions.
  • Drive financial efficiency and economic ROI for clients through deep analysis, strategic insights, and financial planning.
  • Coach clients on financial best practices, helping them gain autonomy and confidence in their financial operations.
  • Maintain high levels of client engagement and satisfaction, focusing on long-term partnerships that emphasize trust, transparency, and financial growth.
 
Job Requirements: We’re Looking for Someone With:
  • Relevant work experience in a client-facing role, such as accounting, financial advisory, or client success management (5+ years preferred).
  • A proactive mindset with the ability to create long-term financial strategies, backed by actionable weekly and monthly plans.
  • Strong communication skills, able to explain complex financial concepts in a clear, concise manner both verbally and in writing.
  • Hands-on experience with cloud-based accounting systems like QuickBooks Online, Fathom, Wagepoint, and other relevant tools (payroll, inventory management, etc.).
  • Previous experience in project management, business consulting, or accounting roles with a focus on delivering client success.
  • Ability to influence decision-making processes and drive financial outcomes across cross-functional teams.
  • Strong problem-solving skills and critical thinking to address financial challenges and deliver tailored solutions.
 
Nice to Haves:
  • CPA designation or equivalent financial qualification.
  • Experience working with Canadian accounting standards and regulations.

KEY RESPONSIBILITIES

  • Manage the inboxes and coordinate communications.
  • Maintain and update the CRM system to ensure accurate client records.
  • Support payroll processing by preparing and maintaining payroll documentation and records.
  • File government forms and ensure compliance with regulations.
  • Conduct research on various topics as requested by the Office Manager or partners.
  • Prepare reports and presentations for the partners, assisting in ad hoc projects as needed.
  • Organize and hold workshops with the team to enhance skills and knowledge.
  • Document processes and create standard operating procedures for office tasks.
  • Provide exceptional client service by addressing inquiries and supporting client needs.

QUALIFICATION

  • You bring proven experience in an administrative role, ideally within the accounting or finance world. If you have some familiarity with payroll processing, that’s a bonus!
  • You’re comfortable navigating the Microsoft Office Suite (Teams, Excel, Outlook) and are experienced with accounting software and CRM systems. You thrive on learning new tools and embrace technology to streamline workflows.
  • Your verbal and written communication skills shine. You can connect with clients, team members, and partners with professionalism and warmth, making everyone feel valued and heard.
